Terms & conditions

Please ensure that you have fully read and understood the booking terms and conditions below prior to booking a trip with us.

The Inspirit brand is owned and operated by V.V.T.C., Inc., a Panama company. Booking a trip or other service with Inspirit implies acceptance of the terms and conditions set forth below. In this agreement, V.V.T.C., Inc. may be referred to as “Inspirit,” “Inspirit Travel,” or “the operator.” You, the customer, may be referred to as “the traveller,” “guest,” “client,” or “you.”

Bookings

All bookings must be confirmed in writing. Upon receipt of applicable deposits required for booking, a written confirmation of services will be provided, which shall be deemed the booking contract.

Failure to supply accurate or timely information required for booking may result in cancellation, with applicable cancellation fees to apply. Inspirit will not be held responsible costa incurred as a result of inaccurate or incomplete information provided.

The minimum booking age is 18.

When booking on behalf of other participants, the “Lead Traveller” represents that any and all appropriate consents have been obtained by the other participants, and agrees to be the designated contact person for everyone included on that booking. The Lead Traveller is also responsible for making any and all payments due in connection with that booking, as well as notifying Inspirit and all participants of important trip information, including but not limited to changes or cancellations. Inspirit will not be liable for errors or omissions in the information provided to complete the booking.

Validity

Dates, itineraries and prices of trips are subject to change. The price quoted at the time of booking shall be considered the current price.

Deposits

Unless otherwise indicated, a non-refundable deposit of $199 USD (or $399 for trips longer than 8 days) per person per trip is required. For bookings made 60 days or less prior to departure, full payment is required at the time of booking.

Some trips may require a higher deposit amount, additional deposits, or full payment at the time of booking. In such cases, notification of deposit requirements will be provided at the time of booking.

Final Payment

Unless otherwise indicated at the time of booking, final payment is required 60 days prior to the departure date. Departure date is determined by the first product or service in relevant booking. If final payment is not received by the due date, the booking may be treated as cancelled and any non-refundable deposits will be forfeited by the traveller.

Cancellations By Traveller

Cancellations must be received in writing.

Trip and Trip Extension cancellations:

  1. Cancellations received 45 days or more prior to departure: we retain the initial non-refundable deposit.
  2. Cancellations received between 31 and 44 days prior to departure: we retain the initial non-refundable deposit or 50% of the total trip cost, whichever is greater.
  3. Cancellations received 30 days or less prior to departure: we retain 100% of the trip cost.

Cancellation terms may vary for certain trips. In such cases, notification of cancellation terms will be provided at the time of booking.

Pre/post-night accommodation, arrival transfers, single room upgrades, and general trip extras:

Unless otherwise stated at the time of booking:

  1. Cancellations received 31 days or more prior to departure: we retain the initial non-refundable deposit (if applicable).
  2. Cancellations received 30 days or less prior to departure: we retain 100% of the cost.

Cancellations By Inspirit

Trip departures are guaranteed with at least one confirmed booking, subject to reasonable itinerary changes made in good faith, or for concerns regarding health and safety. If a trip departure is cancelled by Inspirit for a reason other than Force Majeure, a full refund of any payments received will be provided.

Inspirit is not responsible for any expenses or consequential losses incurred as a result of a cancelled trip, including but not limited to flights, rail, car parking or other fees, visas, vaccinations, loss of earnings, or loss of enjoyment. If a trip or service cannot be provided as sold after departure, Inspirit will make suitable alternative arrangements where possible. If it is not possible to provide suitable alternate arrangements, a refund for unused products or services may be provided at the discretion of the operator.

Airfare

International or other airfare is not included in the trip price unless expressly mentioned.

Medical

Inspirit does not provide medical advice, and travellers are responsible for assessing the risks and responsibilities of each aspect of a trip to determine whether it is suitable for them. Travellers should seek their physician’s advice on all medical matters, including travel precautions and vaccinations.

Inspirit trips may visit remote regions in developing areas, where medical care may not meet the standards of those found in a traveller’s home country.

In consideration of the safety and enjoyment of all travellers and the safe operation of a trip, pre-existing medical conditions which may impact a traveller’s ability to participate in any aspect of a trip, including pregnancy, must be disclosed at the time of booking.

Inspirit reserves the right to deny permission to travel or participation in any aspect of a trip at any time where Inspirit determines that a physical or mental condition represent a danger to the traveller or to others.

Age

Travellers under the age of 18 on the date of arrival are considered minors, and must be accompanied by an adult. The minimum age for travel on any trip, unless otherwise specified, is 15 years. All bookings including minors are subject to approval, and accompaniment or written consent by a parent or legal guardian is required.

There is no upper age limit for our trips.

Insurance

All travellers must have travel insurance covering personal injury and emergency medical expenses, with a minimum coverage to include medical, evacuation, and repatriation. Insurance must cover all dates of travel with Inspirit.

Proof of insurance must be provided prior to the start of any trip. Without proof of insurance, a traveller will not be allowed to participate in any Inspirit trip.

Travellers are strongly encouraged to purchase additional insurance that covers trip cancellation, curtailment, and loss, damage, injury, delay or inconvenience while traveling.

Prices

Prices are subject to change at any time. Inspirit reserves the right to impose surcharges on any products or services booked, up to 30 days prior to departure, for reasons outside of our direct control. Reasons may include fuel costs, dues, taxes, airport charges, currency and exchange rate fluctuations, unexpected increases in taxes, or other government action which impacts prices.

If the price increase is greater than 5% of the original price, a traveller may choose to cancel their booking without incurring a penalty, within 14 days of the notice of the price increase.

Inspirit may offer reduced pricing and last minute deals and specials on certain products or services. Already confirmed bookings are not entitled to reduced pricing.

Changes

Where reasonably required an itinerary may need to be modified either before or after departure. If a change affects at least one in three full days of the itinerary (a major change), Inspirit will provide notice as soon as reasonably possible before departure. In the event of a major change, travellers may accept the change or request a full refund of the land-only portion of their trip.

Once a trip has departed, unforeseen circumstances may present operational concerns, or concerns for the health, safety, and wellbeing of passengers, and may require an itinerary change. Travellers are responsible for incidental expenses during a trip, including expenses arising from a change of itinerary. Inspirit will not be liable losses associated with itinerary changes.

Flexibility

Travellers acknowledge that any foreign travel may require a certain amount of flexibility, and some changes or adjustments to the trip itinerary, schedule, activities, modes of transport, or other may be reasonably accepted due to local circumstances.

Risk

Travellers acknowledge that trips operated and sold by Inspirit are adventurous by nature, and participation involves a significant amount of risk to their personal health and safety. In full consideration and acknowledgement of the inherent risks involved in foreign adventure travel and participation in adventurous activities, especially in a foreign country which may not have the same standards of hygiene, accommodation, transportation, medical care, and other infrastructure as a traveller’s home country, travellers assume full responsibility for all such risk and release Inspirit from any and all claims and causes of action arising from loss, damage, injury or death resulting from these inherent risks.

Travellers acknowledge that the degree of risk depends on the specific activity booked, and activities of a physical nature, extreme sports, or other high-risk activities, whether included on an Inspirit trip, or suggested by an Inspirit trip leader or other representative of Inspirit, may add additional risk.

Travellers must take all measures to help ensure their own safety by proper use of safety devices (seatbelts, harnesses, flotation devices, helmets, etc.) and obey all health and safety warnings, either written or verbal.

Conduct

Inspirit retains the right to dismiss from a trip any passenger for reasons affecting their own safety, the safety, well-being and enjoyment of fellow travellers, or the safe and effective operation of the trip. Non-compliance with local laws and regulations of the countries and regions visited, or Inspirit’s own responsible travel policies, may also warrant dismissal. Refunds for unused services or costs related to travel arrangements required as a result of trip dismissal will not be provided.

Travellers are responsible for costs incurred by Inspirit or Inspirit’s suppliers for property damage, destruction or theft they cause while on a trip.

Travel Documents

A valid passport and all appropriate visas and permits required for travel to the countries visited on the trip are required. The traveller is solely responsible for understanding these requirements and ensuring all documents are in order and valid prior to arrival. Passports must be valid for at least 6 months beyond the last date of travel.

Group Size

Groups are limited in size and the maximum number of participants is advertised on our website. Due to guaranteed departures with at least one passenger, it is possible that trips will run with small passenger numbers.

Total Satisfaction Guarantee

Fair play

Our satisfaction guarantee is subject to fair play rules. If we feel a traveller is taking advantage of the policy for financial gain — for example, complaining about the trip just to receive a discount or compensation, and not due to any obvious fault of our service itself — we reserve the right to decline any refunds or compensation. Whether or not someone is acting against these fair play rules shall be determined solely at the discretion of Inspirit.

How it works

If travellers are not satisfied with any portion of their trip that’s within our direct control, and if we are unable to resolve the issue to their satisfaction, a refund or fair compensation shall be provided for the affected services. To be eligible for a refund or compensation, dissatisfaction must be reported to the trip leader immediately. Refunds and compensation will only be provided for directly affected and/or unused services, and in line with our fair play rules.

Exclusions

The satisfaction guarantee does not cover any aspect of the trip outside of our direct operational control. Inconveniences and disruptions caused by outside factors, such as [but not limited to] airline or other public transportation delays or inconveniences, inclement weather or other ‘Acts of God,’ political unrest, etc.

Third Party Suppliers

While we take all reasonable care in choosing third party suppliers, including but not limited to activity providers, transportation service providers, water taxis, airlines, local tour guides, and other independent parties, Inspirit cannot assume responsibility for their acts or omissions.

Inspirit is not liable and for any claims, losses, damages, whether physical or mental, resulting from the act or omission of third party suppliers or independent contractors.

Local Activities, Products And Services

Inspirit trips include free time where travellers may choose to book local services, including third-party “optional activities,” meals, or other products and services not expressly included in the Inspirit trip itinerary, and not purchased directly through Inspirit. While these activities, products, and services may be promoted or suggested by Inspirit or the Inspirit trip leader as “optional” or “suggested,” and where the Inspirit trip leader may even assist travellers in arranging and paying for these services, travellers acknowledge and agree that the contract for the provision of such services is between the traveller and the third party service provider. Any and all liability for loss, damage, death, personal injury, illness, distress, or loss or damage to property associated with third party services is the sole responsibility of the local service provider.

Liability

Inspirit, its owners, directors, associates, agents and respective employees shall not be held liable for injury or death, loss or damage to personal property, delay, or for additional expenses due to acts of god (sickness, injury, poor health, weather, etc.) strike, detention, riot, war, quarantine, theft, civil disturbances, government regulations or restrictions, third-party or subcontractor negligence, or any other reason outside of our control. Travellers waive any claim against Inspirit for any accidents, delays, inconveniences, expenses, mishaps of any kind, death or personal injury resulting entirely or in part from the negligence of others or from causes beyond our control.

Photos And Videos

Travellers agree that any photos or videos taken during an Inspirit trip, including optional activities not directly provided by Inspirit, by fellow travellers, Inspirit employees or its representatives, may be used for marketing purposes, without limitation, and hereby consent to a perpetual, royalty-free, worldwide, irrevocable license to such pictures without any further obligation or compensation payable to the traveller.

Claims

An attempt should always be made to resolve complaints during the trip, directly with the Inspirit tour leader or our local representatives. Should a resolution by those means not be achieved, complaints be must be submitted in writing and received by us within 30 days after the trip ends.

Privacy

Inspirit will obtain personal information from travellers for use in association with the effective operation of trips. This information may be disclosed to agents, third party service providers, or other suppliers. Information may also be used for marketing and promotional purposes, in accordance with our privacy policy.

Severability

Any part, provision, representation or warranty of these terms which is prohibited or which is held to be void or unenforceable shall be ineffective to the extent of such prohibition or unenforceability without invalidating the remaining provisions hereof.
